Privacy Policy

This policy explains what information Voxhive collects, how we use it, who we share it with, and the rights you have over it.

1. Who we are

Voxhive is a service operated by PurplePM Ltd ("Voxhive", "we", "us"), a company registered in England and Wales (Company No. 11787029), registered office Arboris, New Road Hill, Midgham, Reading, RG7 5RY. We are the data controller for the personal data described in this policy.

2. What Voxhive does

Voxhive lets you send a photo, a voice note or a text message to a WhatsApp number. We turn that into a social media post written in your voice and, with your authorisation, publish it to your connected Facebook Page. There is an approval step so you can review a post before it goes out, unless you have chosen to let posts publish automatically.

3. Information we collect

  • Your WhatsApp details: the phone number you message us from, and your WhatsApp profile name.
  • The content you send: photos, videos, voice notes, and text messages you send to Voxhive, along with transcriptions we generate from your voice notes.
  • Facebook connection data: when you connect a Facebook Page, we receive access tokens and basic Page information from Meta that allow us to publish posts on your behalf. We request only the permissions needed to list your Pages, read basic engagement, and publish posts.
  • Account and contact details: your name and email address, and any details you give us when you sign up or contact us.
  • Usage and technical data: basic logs needed to operate the service reliably, such as message timestamps and delivery status.

4. How we use your information

  • To generate social media posts from the content you send.
  • To publish those posts to your connected Facebook Page when you authorise it.
  • To run the approval and notification workflow, including asking you to confirm a post.
  • To operate, secure, support and improve the service.
  • To communicate with you about your account.

5. Legal basis (UK GDPR)

  • Performance of a contract: processing the content you send and publishing your posts, so we can provide the service you have asked for.
  • Consent: connecting your Facebook Page and publishing on your behalf. You can withdraw this at any time (see section 9).
  • Legitimate interests: keeping the service secure, preventing misuse, and improving how it works.

6. Who we share it with

We do not sell your data. We share it only with the service providers ("sub-processors") that make Voxhive work. Each processes data on our instructions for the purpose shown below.

We may also disclose information where required by law, or to protect our rights, safety, or property.

7. International transfers

Some of our providers are based outside the UK, including in the United States. Where your data is transferred outside the UK, we rely on appropriate safeguards such as the UK International Data Transfer Agreement or equivalent contractual protections offered by those providers.

8. How long we keep it

We keep the content you send (including photos, voice notes and transcriptions) and your account data for as long as your account is active, so the service can function and so you have a record of your posts. We keep it until you ask us to delete it or you close your account, after which we delete it within a reasonable period, except where we must retain limited records to meet a legal obligation.

9. Your rights

Under UK data protection law you have the right to access, correct, delete, restrict or object to the processing of your personal data, and the right to data portability. You can also withdraw consent for the Facebook connection at any time, either by asking us or by removing Voxhive's access in your Facebook settings.

Deleting your data

To delete your data, email marc@voxhive.co.uk with the subject "Data deletion request". We will delete your personal data and content, and confirm once done. You can also revoke Voxhive's access to your Facebook Page at any time from your Facebook account settings under Business Integrations.

10. Security

We take reasonable technical and organisational measures to protect your data, including access controls and encrypted connections to our providers. No system is perfectly secure, but we work to keep your information safe and to limit access to it.

11. Children

Voxhive is a business tool and is not intended for anyone under 18. We do not knowingly collect data from children.

12. Changes to this policy

We may update this policy from time to time. We will change the date at the top and, where changes are significant, let you know.

13. Complaints

If you have a concern we have not resolved, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
